Your information
Privacy policy
This policy covers the private desktop application Personal Secretary, including its Google reader connection and Personal Secretary Sender, and this informational website. The owner operates the application for personal use. It is not a public service accepting other users.
Information accessed and why
- Gmail reader: message headers, bodies, thread information, and mailbox history needed to collect selected mail, identify follow-ups, and prepare summaries.
- Google Calendar reader: event details needed to summarize upcoming commitments and reminders.
- Google Sheets reader: configured spreadsheet ranges needed to summarize and reconcile personal financial information.
- Separate Gmail sender: Google account email identity and authorization to send reports. The application restricts delivery to the authorized account itself.
- Yahoo: selected Inbox and Sent message information through the separate read-only IMAP connector, used to understand follow-ups across accounts.
- Owner input: corrections, task decisions, and completion confirmations used to keep reports accurate.
The reader’s Google permissions are read-only. Sending reports uses a separate Google authorization. The application does not use these reader permissions to delete mail, mark spam, unsubscribe senders, or edit calendar events or spreadsheets.
Local storage and security
Mail copies, task records, reports, and diagnostic records are stored on the owner’s Windows computer. They are not a public website database. Google reader credentials use Windows data protection. The protected Gmail sender and Yahoo connector keep their credentials in separate Windows service stores with access controls. These protections do not mean all locally collected content is encrypted by the application.
AI processing and report delivery
When enabled by the owner, selected message text and relevant context are sent to OpenAI through the configured ChatGPT connection for interpretation. This is external processing, even though Hermes runs locally. AI interpretation can make mistakes and may require owner review.
Full reports can be sent through Gmail to the owner’s authorized Gmail address. Short reports can use the existing Hermes iMessage channel through Photon and its messaging infrastructure. Those providers process the transmitted report content. Report preparation can also run without an AI model call.
The application uses information only for these personal assistant features. It does not sell user information, use it for advertising, or use Google user data to train a general-purpose AI model. External providers have their own terms and data-handling policies; this application does not promise zero provider retention.
Google API data
The application’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements. Access is limited to the disclosed assistant features. Permission is required before new uses or broader access are introduced.
Retention, disconnection, and deletion
Collected records remain locally until the owner deletes them; there is currently no automatic retention deadline. Disconnecting an account stops future access after authorization is revoked, but does not automatically remove existing local copies, reports already delivered, or backups.
The owner can revoke Google access through Google Account connections and revoke the Yahoo app password in Yahoo account security. Stop local collection and scheduled tasks as well. For assistance removing local records, credentials, and backups, contact the owner through the support contact shown on the Google authorization screen. Reports already delivered must be removed from their destination separately; external provider retention rules may still apply.
This website
The site contains static application information. It has no account login, contact form, analytics script, advertising, or embedded assistant. The hosting provider, Cloudflare, may process ordinary connection information such as IP addresses and request metadata to serve and protect the site. See Cloudflare’s privacy policy. Visiting the site does not authorize access to Gmail, Yahoo, Calendar, or Sheets.
Contact and changes
For questions, corrections, or deletion assistance, authorized users can use the support contact shown on the Google authorization screen. Material changes to data use will be disclosed before the changed processing begins, with renewed consent where required. The date above identifies this version.
